To run your business operations smoothly on our platform, we collect metadata and details necessary for active modules:
- Account Information: Names, employee roles, corporate email addresses, passwords, and space designations when workspace Admins generate user accounts.
- Operational Data: Work schedules, payroll details (allowances, basic salary numbers, leaves, and reimbursement receipts).
- Communications logs: Channels list, text messages, mentions, and file uploads exchanged inside Hashboard Chat modules.
- Client & Client Member Portals: Information provided for client billing, project timelines, deliverables, and sync scheduling calendars.
2. How We Use Information
We process your data strictly to execute the operations and configurations requested by workspace administrators:
Processing HRA & technical allowance calculations, leave request balances, expense approvals, and hosting client meeting logs.
Enabling instant message delivery, workspace search results, calendar alerts, and secure sharing of project space credentials.
3. Biometric Scanner Data
Hashboard offers a simulated and optional Web Biometric Face Scanner module for clock-in validations. When users choose to sign-in via biometric verification:
- We do not record, store, or transmit raw camera video or audio to our servers.
- Face scan verification happens inside the secure sandboxed local client browser.
- Only the final confirmation boolean (Authorized / Unauthorized) alongside the timestamp is sent to the workspace attendance log.
4. Vault & Spaces Encryption
All credential databases inside our Spaces Directories are protected by AES-256 standard encryption. Space vaults contain locked configurations, API access keys, and secure company links. Changing a space safety status triggers automatic vault configuration updates to enforce encryption boundaries across employee, manager, client, and admin accounts.
6. Security Standards
Our systems are built on top of high-security hosting infrastructures. We conduct regular software updates, enforce session timeouts, maintain HTTPS communication channels, and restrict data routing permissions according to account roles (Employee, Manager, Client, Administrator).
7. Your Rights & Controls
You retain full control over your workspace profile. Depending on your corporate policy, you can request access to your records, edit inaccurate profile information, or request the deletion of your account from Hashboard.
